What report do I need?
If you are trying to buy or sell your home and require the association documents, please see:

Disclosure/Resale Report - This report is needed by sellers, real estate agent/brokers, etc. and contains consumer disclosure information for the buyer. With this report we have included a complete set of current association documents.

Community Association Documents - This report only includes a set of current association documents and should be purchased by current association members who have lost their documents or need the most current ones. No other information is provided.

If you trying to refinance or purchase a home through a mortgage broker or bank, please order:

Lender Report - This report is used by banks and mortgage companies when preparing a loan. It contains specific information relating to an association, including all information required by Fannie Mae and Freddie Mac.

If you are with a title company or settlement company closing on a refinance or sale and need current account balance, please see:

Escrow Report - This report is needed by title and escrow companies. This report shows settlement information for an account that is closing due to the transfer of title.

Assessment Certificate - This report is used when refinancing a mortgage. It shows just the current balance due to the association, if any. No other documents are included.

Why is there a cost for this service?

The HOA does not pay CMI for assisting homeowners and their lenders when they are selling, refinancing and/or buying a home. CMI provides this service directly to the owner or lender. CMI maintains the website and processes all orders through ADI, a web-based service that CMI subscribes to. Costs for this service are charged to the requester.

What is the difference between a Lender Report and Disclosure Report?

The Lender Report is used to procure a loan for the purchase of property. The Disclosure Report provides information for the association, such as the Association Documents, and discloses information for the association, such as litigation and special assessments.

How do I order a title demand? 

Please order the escrow report or assessment covenant report (refinance report) for any pay off information for the HOA fees. Please click on the below link and place your order online. Title demands are generally provided within 1 business day.

I am a seller or agent of the seller and my buyer needs association documents. How do I get them? 

There are two options:

 

  1. Your Association may have its own website where the current owner can obtain documents for no additional costs. Please go to www.communitymgt.com and click on the tab Your Community. Scroll down to Association Web Portals and register for a Log in & Password. It is likely that the documents you need will be posted on this site. 
  2. If your association does not have a website, you will need to proceed to the Resale Info/Lender Request page and enroll in our ADI site. There you can order the Community Association Documents Packet ($107-$115) to obtain only association documents or the Disclosure Resale Certificate ($158-$165), which contains consumer disclosure information for the buyer on a particular unit and the association documents.
Do I have to pay in advance?

Yes, for Disclosure/Resale, Community Association Documents, Lender Report and Assessment Certificates. No, for Escrow Reports- escrow reports can be paid at closing.

Disclosure/Resale, Community Association Documents, Lender Report and Assessment Certificates must be paid in advance before the order can be processed. You can pay via credit card online when ordering or send a check to our office (Attention: Kris). Please note: your order is not processed until your check is received.

Escrow Reports may be paid at closing.  Please select the ‘at closing’ option on the New Order Screen - Step 3 - Select Order Options to pay at closing.

I’ve already ordered a Lender Report, and now I need a condo cert form filled out by CMI, how do I add it?

Please email the customer form to spencerc@communitymgt.com and we will upload it manually.

I can’t find the address I need, what should I do?

Less is more! Try entering just the house or unit number rather than entering information for all possible fields provided. The system will have an easier time bringing up the matching properties and you can pick from the list. If you are still having difficulty, please contact CMI at 503-233-0300.

How do I cancel my request?

If you wish to cancel your order, please email spencerc@communitymgt.com. If the report has already been delivered, we are unable to refund your payment.

How do I order an update to my title demand?

We provide unlimited updates on the Escrow Report for up to 90 days, without an additional cost. If you require an update to the report, please email your request to Spencer Corwin, spencerc@communitymgt.com. Please include the order number in your request. We generally provide updates within 1-2 business days.

Is your website secure?

ADI maintains an Extended Validation (EV) Certificate from GODADDY. Extended validation (EV) Secure Socket Layer (SSL) certificates are the most rigorous of all. This type of certification allows the green color-coding of the address bar as a sign of security. This is visible to every visitor to a website and has become widely known as a sign that the website is owned by a valid business organization and that one is safe to make a purchase from, or do business with, the website showing the green address bar.
